The overall purpose of the role is to: Provide an efficient and effective administration service to the internal and external customers dealing with enquiries face to face and by telephone ensuring that medical confidentiality is maintained at all times, meeting or exceeding service protocols within agreed deadlines.

KEY ACCOUNTABILITY AREAS:
1. Provide a high quality, confidential service to internal and external customers, through a range of communication channels, based on Force policies and procedures and department protocols within their remit.
2. Ensure that all required Client information is recorded into the Cohort Corporate Health package in an accurate and timely manner.
3. Manage relationships with stakeholders to ensure productive working is maintained, where problems are resolved and continuous improvements sought and implemented.

DIMENSIONS:
General
The volume of Services that are provided by Corporate Health makes this a busy role throughout the year, with high expectations from its customers to ensure that they receive the appropriate support in a timely manner.
Corporate Health is responsible for providing an Occupational Health and Welfare Services to all serving or retired Police Officers and Police Staff within Thames Valley Police and deal with high volumes of telephone calls and e-mail correspondence. Approximately 33,000 per annum.
Required to develop a strong working knowledge of the policies and procedures relevant to corporate health and support services.

The knowledge or skills required in the role are as follows:
1. Good standard of education including excellent numeracy and literacy skills.
2. Recent and relevant office administration experience, ideally in a medical environment.
3. Computer literate with knowledge of Microsoft Office Application, confident at intermediate level. With the willingness to learn new system e.g. Cohort – Occupational health medical package and Command and Control.
4. Good interpersonal and communication skills to enable interaction with staff, clients, senior managers and members of the public.
5. Recent experience in taking accurate minutes in meetings and effective organisational skills, including the ability to work on own initiative, plan and prioritise workloads and maintain accurate records, audio typing skills as well as managing schedules and diaries for a number of people within the department.
6. Proven ability to maintain information in a confidential manner as well as demonstrating discretion, tact and diplomacy and adhering to the Data Protection Act and ensuring that Medical Confidentiality is maintained at any time and any breaches are reported immediately to the line manager.
7. Knowledge of relevant Police Policies and procedures relating to Corporate Health.
