{"id":815,"date":"2023-05-31T10:21:24","date_gmt":"2023-05-31T09:21:24","guid":{"rendered":"http:\/\/www.policejobs.co.uk\/?post_type=jobpost&#038;p=815"},"modified":"2023-05-31T10:21:24","modified_gmt":"2023-05-31T09:21:24","slug":"holmes-indexer-warrington","status":"publish","type":"jobpost","link":"https:\/\/www.policejobs.co.uk\/?jobpost=holmes-indexer-warrington","title":{"rendered":"Holmes Indexer (Warrington)"},"content":{"rendered":"\n<p><strong>We are currently recruiting for a Holmes Indexer in Warrington.<\/strong><\/p>\n\n\n\n<p><strong><u>Pay rate:<\/u> <\/strong>12.25-14.69 per hour.<\/p>\n\n\n\n<p><strong><u>Hours:&nbsp;<\/u><\/strong> 22.5hrs over 3 days per week, Monday-Friday.<\/p>\n\n\n\n<p><strong><u>Contract duration: <\/u><\/strong>Temporary ongoing<\/p>\n\n\n\n<p><strong><u>Department:<\/u> <\/strong>Investigation<\/p>\n\n\n\n<p><strong><u>Duties:&nbsp;<\/u><\/strong><\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp; To devise and construct an indexing system within HOLMES for the categorisation of information items gathered and to organise them effectively and structure the HOLMES database appropriately.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp; To prepare information items for indexing onto HOLMES database to ensure that they are formatted in the most suitable layout.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp; To accurately register and index all documentation as indicated by the Receiver or Document Reader (on a hard copy document this will be underlined text with instructions, or highlighted text with instructions if using graphical markup facility of HOLMES) onto the HOLMES database to ensure that their location complies with the indexing system, and the HOLMES Manual of Guidance.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp; Raise actions as directed, either where indicated in any document or by a specific instruction from a named person, after researching the database to check that the enquiry is not already the subject of a previous action, if so verify that it fulfils the enquiry NOW required. Ensure the resume and full instructions of the raised action are in clear and precise terms to enable the enquiry officer to carry out the action specified.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp; Type the result of completed actions onto the HOLMES database indexing as instructed by the receiver, raising any further actions if so instructed and endorse the action as resulted, unless reallocation is required.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp; To understand the method and state of an investigation to create and revise links between details stored in the HOLMES database and identify connections, correlations and discrepancies or anomalies.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp; To devise searches and conduct research of the HOLMES database, extracting and analysing the resulting information and intelligence outputs, to facilitate lines of enquiry.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp; Operate i2 analytical software within HOLMES to prepare accurate graphical displays of information items taken from the HOLMES system, for the reference of the investigation team.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp; To revise the indexing system and structure of the HOLMES database to ensure that it reflects policy decisions made during the investigation.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp; To liaise closely with the investigation team to provide expert advice in relation to the relevant indexing system, and the structure, search and operation of the HOLMES database.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp; Endorse documentation as indexed, either manually or electronically.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp; Carefully check that all instructions contained with documentation have been carried out and forwarded as relevant to Officer Manager, Action Manager or Document Reader.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp; Monitor and control the quality of data entering the system by regular system maintenance, utilising HOLMES review documentation.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp; To operate ancillary computer systems and applications as required in order to locate additional information items, e.g. Adobe Pro and internet,<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp; To assist in the typing of all MIR documentation including audio tapes and proof reading of same as and when required.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp; To be responsible for filing and retrieving documents during an incident and the caretaking of documents which require indexing following closure of the incident room.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp; Promote and comply with Organisation&#8217;s policies on health and safety both in the delivery of services and the treatment of others.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp; Comply with and promote equality legislation and Organisation\u2019s policies on diversity and equality. Take steps to eliminate unlawful discrimination, advance equality of opportunity and foster good relations.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp; All staff and officers must adhere to and comply with Data Protection, Freedom of Information and Human Rights legislation and the Authorised Professional Practice (Information Management).&nbsp; It is the responsibility of all staff and officers to maintain data quality and security. Therefore, when inputting, updating, and using the Organisations information, you are to ensure that it is Accurate, Adequate, Relevant and Timely (AART), and that it is used \/ disclosed for business purposes only and kept secure.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp; Supervisors and managers have the additional responsibility of ensuring that staff undertake the appropriate training and fully understand and apply the required Organisation\u2019s policy, procedures, and information \/ records management standards in the course of their duties. Supervisors and managers should ensure that staff \/ officers understand their responsibilities in maintaining data quality and security and have appropriate processes in place to monitor compliance.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp; To carry out such other duties which are consistent with the nature, responsibilities, and grading of the post.<\/p>\n\n\n\n<p><strong><u>Skills\/Abilities:<\/u><\/strong><\/p>\n\n\n\n<p><strong>Essential:<\/strong><\/p>\n\n\n\n<p>&#8211; Competent in using computer systems including Microsoft packages and the Internet<\/p>\n\n\n\n<p>&#8211; Able to demonstrate high standard of accuracy and attention to detail.<\/p>\n\n\n\n<p>&#8211; Demonstrates the ability to plan and prioritise own workload.<\/p>\n\n\n\n<p>&#8211; Ability to think logically and laterally and have a high level of concentration.<\/p>\n\n\n\n<p>&#8211; Demonstrate ability to analyse information from Investigation records, devising &amp; constructing an indexing system on HOLMES for the categorisation of information during complex Homicide \/Major Crime Investigations, dealing with volume &amp; complex investigation records, creating indices, suitable categories &amp; appropriate documentary cross references in accordance with HOLMES Standards Policy &amp; Procedures and HOLMES Rules &amp; Conventions.<\/p>\n\n\n\n<p>&#8211; Demonstrate competence, confidence &amp; ability to work unsupervised as a HOLMES Indexer on HOLMES accounts, providing efficient and effective Indexing support to major crime investigations, which has been quality assured by Indexing Team Leader\/HOLMES Supervisor.<\/p>\n\n\n\n<p>&#8211; Demonstrate ability to introduce flexible use of the HOLMES system to manage a variety of investigations by introducing Full Indexing, Minimum Indexing and Streamlined Indexing on HOLMES managed serious crime investigations.<\/p>\n\n\n\n<p>&#8211; Made recommendations &amp; provided advice and support to other HOLMES users E.G. Receivers, Statement Readers &amp; Incident Room Managers in relation to HOLMES Indexing policy.<\/p>\n\n\n\n<p>&#8211; Able to demonstrate ability to improve quality of HOLMES accounts by sub-indexing records which have become unmanageable to improve quality of Indexing for research purposes.<\/p>\n\n\n\n<p>&#8211; Demonstrate ability to analyse &amp; effectively Index on HOLMES lengthy &amp; complex Investigation records to a high standard.<\/p>\n\n\n\n<p><strong><u>Experience:&nbsp;<\/u><\/strong><\/p>\n\n\n\n<p><strong>Essential:<\/strong><\/p>\n\n\n\n<p>Carried out duties including inputting, recording, retrieving of information and associated filing.<\/p>\n\n\n\n<p>Complied with the standards within the Major Incident Room Standardised Administration Procedures (MIRSAP) and be fully conversant with HOLMES Manual of Guidance.<\/p>\n\n\n\n<p><strong>Desirable:<\/strong><\/p>\n\n\n\n<p>(Training will be given in the use of systems\/ software, techniques, methods, procedures etc.)<\/p>\n\n\n\n<p>Worked in a clerical\/administrative capacity.<\/p>\n\n\n\n<p>Experience of Major Incident Room procedures and roles.<\/p>\n\n\n\n<p>Apply online or contact Lucia De Felice on 07425 757587.
