We are currently recruiting a Senior Clerical Officer – Occupational Health & Welfare based in Prestwich.

MAIN DUTIES AND RESPONSIBILITIES

• To manage and maintain the Unit’s appointment system including notification of clients and managers prior to appointment, preparation of clinic lists and distribution of management reports following consultation. Management of Unit’s diary system and preparation of clinician’s daily appointment lists.

• Administer the Occupational Health Mailbox and deal with queries raised from it. Preparation of cases to be discussed at bi-weekly triage sessions.

• Arrange and manage appropriate appointments within time bound parameters, provide updated reports from those appointments and other relevant information to all involved parties and departments including the updating of restricted duty information on iTrent.

• Deal with incoming telephone calls in a sympathetic and helpful manner, providing an understanding of the Unit’s processes and advising callers in sickness processes and procedures and prioritising actions to be taken and updating of any records as a result. Bringing to the attention of the Practice Manager any cases that may need further advice or escalating to the Unit Manager/FMO.

• Obtain additional reports when instructed to do so by practitioners from the client’s own GP, NHS Consultant or private Specialist, ensuring that such reports will be available for subsequent clinical consultations and maintenance of the control data base.

• Provide a word processing and audio service to support the Unit’s practitioners and officers. Opening and distribution of the Units daily post.

• Assist with compilation of monthly time lined management data to provide a record of the Unit’s activities to allow prioritisation of work processes. Deal and administer time managed SMP processes that have to meet deadlines and include working with outside agencies and consultants.

• Liaise with HR/GMPA about appointments, appeals, pay extensions or other relevant cases. Facilitate the completion of files relating to ongoing cases chasing external professional providers, thus providing a complete case to the relevant bodies and meeting the deadlines that have been agreed by the Force medical officer.

• Administrate and maintain the Force wide Adjusted Duties facility on iTrent and prepare runs and statistics monthly and give advice to callers with regards to adjustments.

• Use the Purchase Ordering system and process invoices for all specialist medical services or supplies from external providers and agencies under Financial Standing Instructions in a timely manner.

• Maintain an adequate level of equipment and supplies to ensure a high standard of efficiency of the service and to provide cover for colleagues in the Unit when required.
