Fleet Systems Officer (Crawley)

We are currently recruiting a Fleet Systems Officer based in Crawley on a 6 month contract. 37 hours per week.

Purpose of the Role:
Managing the integrity of the data held within the SAP fleet management solution by; creating, maintaining and storing data and management information relating to fleet vehicles, associated sub equipment and materials, inc fuel and workshops items. Providing first line support and administration of Fleet SAP users. Extracting fleet management information from Fleet SAP to create regular and adhoc reports relating to the operational and financial performance of vehicles, materials, workshops and the JTS as a whole.

Responsibilities:
1. Responsible for managing the administrative processes required to support the Fleet SAP and fuel management solutions. Fully participate in a range of JTS transactional services including, but not limited to, the creation and maintenance of SAP records, vehicle transfers, data entry and reporting
2. To undertake and support a range of local administrative processes required to ensure the functionality of the Fleet Management IT solution and other programs. Fully participate in a range of JTS transactional services including workshop reception duties, filing, timely and accurate compilation, and maintenance of records including job cards, vehicle records and maintenance programmes and mileage returns, data entry etc. across the JTS organisation.
3. To analyse and check the quality of data input into the Fleet and fuel management solutions and output in terms of vehicle, material and financial information. Preparing reports to identify individual issues and trends to improve the cost effectiveness of the fleet and workshops and produce supporting KPI’s.
4. Ensure all departmental work instructions in relation to Fleet SAP are current and adhered to; provide first line support to Fleet SAP users, include the ongoing assessment of their training needs in relation to SAP
5. Maintain the integrity of the Fleet SAP solution by identifying any trends that may indicate a potential breach of system integrity, areas of inefficiency and opportunities to improve the cost Not protectively marked 2 effectiveness across the full range of JTS activities. Be proactive in identifying cost effective solutions to resolve current and sustainable solutions.
6. Responsible for ensuring all road fuel bunker levels and sites, fuel cards and fuel card accounts (inc covert) are operational; maintained to agreed levels; and transactions inc mileage are uploaded into SAP in a timely and accurate manner.
7. Provide timely and accurate management information to JTS management and stakeholders including but not limited to monthly, quarterly and year-end reports as required.
8. To administer the registration, licensing and de-licensing processes of all vehicles within the JTS. To maintain the timely and accurate updating of MIDAS, London Congestion charging, and other databases as required.
9. To assist and support the Serious Collision Investigation Manager, JTS Management and other Blue Light Collaboration Integrated Transport Function partners maintain a level of specialist advice when required.
10. Undertake other duties appropriate to the grade and character of work as may be reasonably required, including specific duties of a similar or lesser graded post.

Requirements:
▫ Educated to GCSE level including Maths & English
▫ Proficient in Microsoft office products
▫ High level experience of fleet management solutions and high-level knowledge of fuel management solutions
▫ Good interpersonal and communication skills
▫ Good problem solving and analytical skills
▫ Ability to meet conflicting demanding deadlines
▫ High level of self-motivation, with the ability to prioritise, plan and manage own workload with minimal supervision
▫ Resilient with the ability to challenge issues, identify solutions and to see them through to resolution.
